This position will provide administrative support within our Ventures Leadership Team which will involve scheduling and managing (off-site, on-site, and virtual meetings spanning across global time zones) meetings, planning business trips, calendar management, expenses, and ensuring schedule's run smoothly. The successful candidate must be able to handle multiple tasks in a fast-paced professional work environment that demands excellent problem solving, organizational, and communication skills while always maintaining confidentiality.
How you will contribute
You will:
- Schedule appointments and control executive calendar. Active participation in decisions affecting executive's and/or department's schedule/priorities. Schedules group meetings, off-site events and travel reservations.
- Work collaboratively with cross-functional Administrative Assistants to align calendars for the Leadership Teams (LT).
- Work closely HR in scheduling Talent Forums, Calibrations, Interviews, Onboarding, etc.
- Provide administrative support executing activities and build effective relationships with those you support.
- Perform duties as needed related to budget, expenses and purchasing processes.
- Create and maintain distribution lists.
- Answer calls and emails, responding to queries and requests appropriately.
- Manage archiving and filing in line with statutory requirements and company policy.
- Complete and update reports and maintain systems and data.
- Work on special projects as requested.
- May act as back up in absence of other Senior Executive Admins.

Qualifications:
- Associates degree or equivalent work experience
- Minimum of five or more years of Senior Executive Administrative experience, including extensive experience in calendar management
- Minimum of 3 or more years of experience supporting C-Level executives
- Strong work ethic that includes flexibility to occasionally work during non-core hours
- Comfort & experience working in a diverse global team
- Experience managing complicated international travel including availability for emergency situations such as last-minute flight cancellations or changes
- Technologically savvy
- Proficient in Word, PowerPoint, Excel and Outlook
- Experience working effectively in a matrix organization
- Ability to interact with all levels within and outside of the company
- Excellent written and verbal communication skills
- Experience handling large, multiple projects and data simultaneously
- Ability to adapt in an extremely fast-paced, sometimes stressful, and time-sensitive environment
- Ability to work within a team and independently
- Strong problem-solving skills

The anticipated base salary range for this position is $65,100 to $89,950; the exact salary depends on several factors such as experience, skills, education, and budget. The salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with possibility for overachievement based on performance and company results.
