Job Summary:
The Events Team supports multiple business units at GAF by designing and executing signature experiences around GAF strategy. The team delivers on our brand promise by planning, organizing and hosting engaging events, including company gatherings, internal team-building, large-scale customer conferences, educational sessions, tradeshows, Summits, etc for customers, employees and local communities.
The Associate Events Specialist is responsible for the planning and execution of internal and external high-touch events from conception to completion including, but not limited to, social engagements, customer-facing conferences, meetings/events and corporate gifting; all consistent with GAF's key priorities. This role will apply out-of-the-box thinking and creative design to enhance the team's exposure and maintain the integrity of the GAF brand, creating signature experiences.
The ideal candidate will be a collaborative partner who strives to support the team and business with a continuous improvement mindset. This role will efficiently and accurately work through a large volume of projects with nominal supervision. This role will take on increased responsibility in managing events and serve as back-up to team Event Managers. To ensure success as an Associate Event Specialist, you should possess excellent project management skills and have good marketing and communications experience, have the versatility to organize many projects at once as well as the ability to problem-solve under pressure.
Essential Duties
- Collaborate with event stakeholders to formulate program goals
- Accountable for event activation aligned with business strategic intentions
- Define event objectives and develop post-event reporting highlighting ROI and key takeaways
- Strategize and develop event concepts/branding for innovative and memorable events, and oversee all logistical elements; set-up, execution, and clean-up
- Prepare, manage, and adhere to budget guidelines while delivering on established objectives; reconcile all expenses post-event
- Manage travel booking, accommodation logistics, and registration of vendors, sponsors, and internal and external attendees
- Consistently maintain event summaries and other identified software for record-keeping, event management, and operational efficiencies
- Create communications for registration, invitation, and event updates; design invitation and event collateral as needed
- Source, facilitate, and maintain relationships between GAF and vendor partners for event-related items including food & beverage, AV, decor, lodging, graphic design, gifting, IT, photography, printing, promotional giveaways, transportation, and talent
- Comply with legal, insurance, health, and safety regulations
- Manage the events mailbox and provide general support to the team
- Promote events as necessary through partnership with colleagues on marketing channels such as social media, emailers, and advertising campaigns
- Provide consistent, timely reporting of projects, identify issues, and escalate as necessary
Qualifications Required
- Bachelor's degree and at least 2 years of event coordination experience Required
- Proven track record executing multiple events of varying types in a high paced, evolving environment
- Continuing Education in the meetings industry; focusing on innovation & event technologies, specifically Cvent
Qualifications Preferred
- Confidence and ability to make last minute decisions with professionalism, discretion and maturity
- Manage various projects simultaneously without supervision while prioritizing complex and varied portfolios of both internal and external partners, all with their own unique priorities, needs, and time lines
- Demonstrate flexibility and reliability while employing strategic thinking and problem solving by offering creative solutions
- Excellent written, oral, interpersonal and customer service skills
- Willingness to learn, entrepreneurial spirit, passion for events
- Build strategic working relationships throughout the company
- Strong organizational, time management skills and attention to detail
- Proficient in Google Suite
Travel Requirements: 10% Domestic Travel (subject to change)
